NSW Department of Communities and Justice (DCJ) works with children, young people, adults, families and communities to support vibrant, sustainable and inclusive communities. Many DCJ program services are delivered via non-government organisations (NGOs).

The challenge

DCJ identified a critical gap in its ability to collect and manage service provider data efficiently. Relying on manual processes - emails and spreadsheets - to gather NGO data, the department faced ongoing issues with inefficiency, errors, and a lack of traceability that undermined effective program management.

In 2023, DCJ launched infoShare, a secure digital data-sharing portal designed to address these challenges. While a meaningful step forward, the initial solution had limitations: program managers still needed IT assistance to modify online data-collection forms, and key functionality, such as scheduling calendars, was missing. Recognising that the platform needed to go further, DCJ set out to evolve infoShare into a more capable, self-sufficient solution that truly met the department's needs.

The solution

DCJ partnered with PhoenixDX to significantly enhance the capability and performance of infoShare, transforming it into a far more powerful and self-sufficient data collection platform.

A standout improvement was the introduction of dynamic online forms, enabling program managers to customise data entry fields independently, without requiring IT support. This single change fundamentally shifted how the department manages its data collection, removing a key bottleneck and putting control back in the hands of the people who need it most.

Delivered in under 12 months, the enhanced portal strengthens reporting across a range of critical programs, particularly those serving vulnerable children, families, and victim-survivors of domestic and family violence. The richer, higher-quality data collected through infoShare can now be used to monitor non-government program performance, build a robust evidence base on which services are making a real difference, and evaluate their cost-benefit to inform future investment decisions.
